Administration Assistant (Scheduling & Production)

We're looking for an organised and proactive Administration Assistant to join our Frame & Truss team in Edinburgh. This is a fast-paced role at the heart of our operation, supporting scheduling, production, purchasing and customer order administration to ensure materials, paperwork and jobs flow smoothly through the business.

About the role:
Working closely with Sales Support, suppliers, production teams and schedulers, you'll play a critical role in coordinating customer orders, managing purchase orders, preparing production documentation and supporting scheduling activities across our Frame & Truss operations.
No two days are the same. One minute you'll be liaising with suppliers about material deliveries, the next you'll be updating production paperwork, preparing site packs or assisting with job costing and invoicing support.
Your attention to detail and ability to juggle competing priorities will directly contribute to production efficiency, customer satisfaction and on-time delivery performance.
About you:
To succeed in this role, you'll be a highly organised administrator who enjoys working in a busy operational environment.
You'll bring:
- Previous administration experience (minimum 2 years preferred)
- Strong Microsoft Office skills, particularly Excel, Outlook and Word
- Excellent time management and prioritisation skills
- Strong communication and relationship-building abilities
- High attention to detail and accuracy
- The ability to work both independently and as part of a team
- A proactive approach to problem-solving and follow-up
- Confidence working with multiple tasks and deadlines simultaneously
Experience in manufacturing, construction, building supplies, logistics or production environments will be highly regarded but is not essential.
Key Responsibilities
- Process customer orders and production call-ups
- Raise and manage purchase orders for job-specific materials
- Coordinate production paperwork, picking slips and dispatch documentation
- Monitor supplier orders and follow up on shortages, delays and back orders
- Liaise with Sales Support, suppliers and production teams regarding order updates and scheduling changes
- Prepare production site packs and manufacturing documentation
- Assist with job costing, cost tracking and invoicing preparation
- Maintain accurate records and filing systems
- Support workflow coordination across multiple Frame & Truss sites
- Contribute to a safe, efficient and productive workplace
