We're looking for a highly organised and proactive Executive Assistant to provide high-level support to the Executive Leadership Team (CFO, Sales & Marketing, and Merchandise). In this role, you'll enable our leaders to focus on critical organisational priorities by managing administrative load, streamlining workflows, and ensuring coordination across the business runs smoothly.
You'll work closely with the Executive Team to ensure meetings, projects, and strategic initiatives are supported with precision and professionalism. This role requires someone who can anticipate needs, optimise processes, and make executives more effective, all while maintaining discretion and fostering strong relationships across the organisation.
This role operates on site at our Heatherton National Support Office, and occasional flexible working arrangements can be discussed with the leaders you support.
What you will be doing:
- Manage and optimise Executive Team calendars, priorities, and inbox correspondence
- Coordinate meetings, prepare agendas, briefing packs, minutes, and track actions
- Prepare high-quality documents, presentations, board papers, and strategy materials
- Implement and maintain efficient administrative systems and workflows to streamline operations
- Act as a key liaison with internal and external stakeholders, maintaining professionalism and confidentiality
- Coordinate travel, expenses, events, and support projects aligned with organisational priorities
You’re likely a match if you are/have:
- Minimum 5 years’ experience supporting senior executives or Executive Teams
- Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint) and collaboration tools
- Proven ability to implement and optimise systems, processes, and workflows to improve efficiency
- Exceptional organisational skills, attention to detail, and ability to manage competing priorities
- Strong written and verbal communication skills with confidence engaging at all levels
- Proactive, solutions-focused, and able to anticipate needs and solve problems independently
- Demonstrated professionalism, discretion, and ability to thrive in a fast-paced, evolving environment
