Executive Team Assistant

About the Opportunity

Make an impact behind the scenes and enable our leaders to keep things moving!

We’re looking for a highly organised and proactive Executive Team Assistant to provide critical support to our senior executives, including the CFO and CIO. In this role, you’ll be the go-to person for coordination, communication, and organisation, ensuring our leaders can focus on strategic priorities while you manage the details that keep everything running smoothly.

You’ll work closely with the Executive Assistant to the CEO and other key stakeholders, playing a vital role in connecting people, managing priorities, and keeping everything organised in a fast-paced and constantly evolving environment.

This role operates across both our Port Melbourne and Heatherton sites and requires 5-day on site presence due to the nature of the position. Occasional work from home arrangements can be discussed with the leaders you support.

What you will be doing:

• Manage executives’ diary, prepare meeting agendas and take minutes
• Organise meeting logistics including room bookings, catering, and tech set up
• Coordinate domestic and international travel arrangements and itineraries
• Process expense claims and reconcile AMEX transactions
• Act as a key liaison between Executives, CEO’s office, and other departments
• Support executive and company events and activities
• Promote and uphold a strong safety culture

You’re likely a match if you are/have:

• Proven experience in executive or senior-level support
• Exceptional organisational and time management skills
• High level of discretion and professionalism
• Advanced MS Office and collaboration tools proficiency
• Strong written and verbal communication skills
• A proactive, adaptable, and solutions-focused mindset
