About the Opportunity 


We are currently looking for a highly organized and proactive Administrative Assistant to join our Safety, Health, and Environment (SHE) Team. This role plays a critical part in ensuring the smooth operation of administrative tasks, supporting SHE initiatives, and helping us make a difference in workplace safety and wellbeing.

 

This role is Permanent Part time, working 3 days per week (flexible on days). This role can also be based from our Macquarie Park or Huntingwood offices.

 

In this Role 

 

 

  • Proactive diary and meeting management, including meeting set-up, organising catering, agenda distribution and recording of minutes and actions
  • Coordination of travel and accommodation for the SHE Team
  • Maintain accurate and timely expense claims, processing of invoices and purchase orders, and budget tracking for the SHE Team
  • Team communications to the wider business including creating and posting internal posts, articles and SHE Monthly Newsletter
  • Event management - Assist with various SHE events (such as RUOK? Day and Stop for Safety Day activities) across the wider business
  • Financial administration -expense claims, processing invoices and purchase orders and tracking team budgets
  • General administration duties such as mailing, filing, presentations, supply ordering 
  • and expense claims 
  • Assist with IT tasks, such as ordering equipment and maintaining email distribution lists
  • Assist with onboarding of new employees to the SHE Team


You’re Likely a Match If 

 

 

  • Minimum 3 years experience in similar support role
  • Experience within Safety team environment is highly regarded
  • High attention to detail
  • Professional, adaptable and proactive 
  • Ability to develop positive working relationships with stakeholders
  • Strong organisational & time management skills
  • Ability to provide support to multiple stakeholders
  • Advanced skills in Microsoft Office Suite of programs (Excel, Word, Powerpoint, Teams)
